What is e-mail?

E-mail stands for electronic mail which is the online mode of communication in offices.It makes easy to send message all over the world. It is the fastest, affordable, and easiest method of communication. We can send messages, attachments, and hyperlinks.


We need e-mail ID for sending and receiving messages. We can make e-mail IDs on Gmail, Outlook for free of cost. We can buy paid plans for getting customized e-mail Ids and extra benefits.

What is the History of e-mail?

In American English, mail stands for letter, so sending mail online is called email. Email had been started before ARPANET (Advanced Research Project Agency Network) using a program called Mailbox. There are three stories about email.

Story One: Errol Morris award winning filmmaker known for The Fog of War clams that he invented mail command which could be used to share message in a network. He called it ancestor of email in new operating system.

Story Two: In 1971 Ray Tomlinson found method to send messages on network using @ symbol for destination computers.

Story Three: Shiva Ayyadurai whose family immigrated to America from India. He is MIT graduate and hold four degrees. He was voluntarily working in a dental school where his mother was working. He invented an interoffice mail system for the school and called it email.

What is e-mail Address?

Email address has two parts which make individual’s email IDs.

User Name: The first part before @ symbol is called user name which is chosen by user. All users have unique user name to send and receive emails.

Domain Name: The second part after @ symbol is called domain name which tells about email server .

What are the uses of e-mail?

1) Individual or Group Communication: Email is the best way to communicate with friends or to send message to an individual. We can send messages, pictures, and links and we can also share files.

2) Sending Notifications and Reminder: Banks give notification to their customers after each transaction. Offices send reminders, circulars, and updates.

3) Running Ads and Campaigns: Companies run advertising campaigns by email to attract new customers. They introduce new products and tell new offers.

What is the difference between email and webmail?

Webmail: It is browser based email service which doesn’t require any application software. It saves storage as it saves email online, so email can be accessed online. Some common Webmail service providers are Gmail, Yahoo

Email: Email is an application based email which needs software installation. It saves emails on a computer or on a phone and emails can be accessed offline. It is more secure than webmail. Some common Email service providers are Outlook, Apple mail.

What are the different types of e-mail?

1) Review Email: Customers get review email from companies after buying a product. Companies want customer's feedback about the product. We get these emails after buying products from online.

2) Survey Email: Companies want to know more about customers, so they ask questions. To engage their customers they offer some rewards.

3) Newsletter Email: Companies send newsletter to update their customers. Customers can subscribe or unsubscribe these newsletter.

What are the advantages of e-mail?

1) Fast: Email is the fastest tool of communication. It can send message all over the world in a few seconds.

2) Convenient: Email is easy to use. We can email from any point of time and at any place from office, home or in travel.

3) Cost Effective: With Internet connection we can send and receive email at free of cost. We can make email ID without any cost.

4) Nature Friendly: Email doesn’t need paper, envelop to send a message and it doesn’t make any pollution.

What are the limitations of e-mail?

1) A small mistake in email address can result into not delivered to the recipient or sent to wrong recipient.
2) Email inbox is always filled with spam, so it becomes difficult to find right emails.
3) Anyone who knows email address can send email and attachment feature is main cause if viruses.

What are the components of e-mail?

1) To: Used to enter recipient email Address
2) CC: It is used when sender want to give CC(carbon copy) to other person.
3) Bcc: Email address entered in Bcc (Black Carbon Copy) will not be visible to recipient added in To and CC.

5) Body: It is used to type message which can be formatted and text can be hyperlinked with other pages.
6) Formatting: These tools help to format the message so that message would look more meaningful.
7) Attachment: These tools are used to attach files, setup links, and share file from Google drive. It is also used to insert emoji and to insert picture.
8) Send: This button is used to send and schedule email.

Gmail: Google mail is the popular email service provider which gives 15 GB free storage capacity. We can mail Gmail account free of cost. It charges some money for customized email IDs free of spam and gives extra storage. We can access YouTube, Google Drive, Blogger, Doc, Spreadsheet, Slide and other services of Google with Gmail IDs.

Outlook: Microsoft provides outlook to create email ID and gives 5 GB store. . It charges some money for customized email IDs free of spam and gives extra storage. We can access One Drive, Word, Excel, and PowerPoint with email ID.
